Call Centre Support Template
A high-volume queue built for triage, with callbacks and escalations as first-class parts of the flow.

High-volume support has a different failure mode from low-volume support. The problem isn't remembering the one open ticket, it's triaging a hundred quickly and making sure the few that matter most don't get lost in the middle of them.
This template is shaped for that: categories that sort by reason on arrival, an explicit escalation tag, and a dedicated status for the thing phone-heavy teams do constantly: promise to call someone back.
Who it’s for
Support teams handling significant daily volume across phone and email, where triage speed and callback tracking matter more than deep per-ticket history.
What it fixes
- Volume makes it hard to spot the tickets that genuinely need escalating
- Promised callbacks live in someone's notebook rather than the system
- Billing disputes and complaints get handled at the same priority as routine questions
- No reliable read on how long people are actually waiting
What you get, preconfigured
Pick this template at signup and the workspace arrives set up like this. Everything below can be renamed or removed afterwards.
The 4-stage workflow
Open is the arrival queue. In progress is active handling. Callback scheduled is the status that earns its place here: a promised call is a commitment with a time attached, and treating it as just another open ticket is how callbacks get missed. Resolved closes out.

- “Thanks for getting in touch”
- “Callback scheduled”
- “Issue resolved”
Each one is a full draft you edit, not a title. Placeholders fill in the requester’s name automatically.

Setting it up
- 1Create a workspace. No credit card, no sales call.
- 2Pick the Call Centre template. Statuses, categories, saved replies and example tickets are applied immediately.
- 3Connect the mailbox those requests already arrive at, by OAuth for Outlook, Gmail or Zoho, or by email and password for any other provider.
- 4Invite your team. Pricing is flat per workspace, so adding people costs nothing extra.
You can add another template later: a workspace can run several departments side by side under the same flat price.
Questions
Does PileDesk handle phone calls directly?+
No. There's no telephony, IVR or call recording in PileDesk. What it does is track the request that came from a call. You log it manually from the inbox, and the Callback scheduled status keeps promised return calls visible. If you need integrated telephony, you'll want a dedicated contact centre platform.
How do you stop escalations getting lost at volume?+
The template ships an Escalation tag and priority levels. The practical discipline that matters more than either: define what actually counts as urgent in writing, and treat more than roughly one in ten tickets arriving as urgent as a sign the definition isn't being applied.
Can several agents work the same queue?+
Yes, and pricing doesn't change as you add them: it's flat per workspace, not per agent. Every ticket has one explicit owner so two people don't answer the same customer.
