HR Request Template

A People team queue for the requests employees send HR: leave, onboarding, payroll questions, and policy.

HR requests have a property IT requests mostly don't: some of them are sensitive, and a shared mailbox gives everyone with access sight of everything. That's the wrong default for a payslip query, let alone anything harder.

This template sets up a queue built around that constraint, with categories covering the recurring People workload and an approval-shaped status flow, because a meaningful share of HR requests need a manager's decision before anything happens.

Who it’s for

A first People hire or a small HR team fielding employee requests without a dedicated HRIS, often alongside whatever payroll system is already in place.

What it fixes

  • Sensitive requests sit in a mailbox several people can open
  • Leave and payroll questions have real deadlines that a mailbox doesn't track
  • Requests needing manager approval stall with no visible owner
  • Onboarding spans HR and IT, so steps fall between the two

What you get, preconfigured

The 4-stage workflow

NewOpenIn reviewOpenWaiting on employeeWaitingClosedClosed

Requests arrive as New, move to In review while you work out what's needed, and sit in Waiting on employee when you've asked for something back. Closed ends it. The review stage matters more here than in an IT queue: a lot of HR work is deciding or checking a policy rather than fixing something, and that deserves a status of its own.

Setting it up

  1. 1Create a workspace. No credit card, no sales call.
  2. 2Pick the HR Requests template. Statuses, categories, saved replies and example tickets are applied immediately.
  3. 3Connect the mailbox those requests already arrive at, by OAuth for Outlook, Gmail or Zoho, or by email and password for any other provider.
  4. 4Invite your team. Pricing is flat per workspace, so adding people costs nothing extra.

You can add another template later: a workspace can run several departments side by side under the same flat price.

Questions

Is this suitable for formal employee relations cases?+

No. This handles day-to-day HR requests: leave, onboarding, payroll, policy. It does not provide the investigation workflows, confidentiality tiers or compliance audit trail a dedicated employee-relations case management system offers, so it isn't the right tool for formal grievance or disciplinary cases.

How do you keep HR tickets confidential?+

Decide who can see what before rolling anything out and test it with a realistic scenario rather than trusting a feature list. Small teams typically either keep sensitive cases in a separately restricted workspace, or rely on role-based access within one workspace.

Can HR and IT run in the same workspace?+

Yes, and for smaller companies it's usually simpler, because onboarding and offboarding span both. Each department keeps its own statuses, tags and saved replies. Pricing is flat per workspace, so running both costs the same as running one.
